Sending Session Files

The brief to forward to your video crew, and what to do if the event is already over.

One file per session, under 5 GB

Start here

What we need

One video file per session, each under 5 GB, with sound you can hear. That is all. Forward this page to whoever records your sessions.

1

One file per session

Stop and start the recording between talks.

Part one is the full brief for your crew.

2

Under 5 GB per file

Export as MP4 at a video bitrate of 8 Mbps and most sessions fit.

Part one has the exact export settings.

3

A shared folder link

Upload the files to a shared folder and send us the link.

Part three walks through it.

Event already over?

If your crew recorded one long file, you can still send it. Part two shows how.

Part one

Before the event: the crew brief

Four things for whoever records your sessions.

01

One file per session

Stop and start the recording between talks. Do not leave the camera running all day.

Why: Speechbox works session by session, so one long file gives you a fraction of the clips.

02

Under 5 GB per file

Export as MP4 (H.264), 1080p, at a video bitrate of 8 Mbps. That keeps a session of up to 80 minutes under 5 GB. Up to 100 minutes, use 6 Mbps. Up to two hours, use 5 Mbps.

Accepted formats: MP4 preferred. MOV, M4V, MKV, WebM and AVI also work.

03

A name that says what it is

Date, stage, start time, speaker surname, short session title:

2026-10-13_SpotlightStage_0930_Rivera_Lending-Trends.mp4
04

Sound from the desk, if you can

A line out from the sound desk into the camera.

Why: clean audio drives every transcript, quote and article.

Part two

After the event: you have one long recording

Two ways to send it.

01

Best: cut it into sessions

Open the recording in any video editor, mark where each session starts and ends, and export each one as its own file with the settings in part one.

02

If no one can cut it: send it with a session list

Send the long recording plus a list with one row per session: title, speaker names, start time and end time. Use the time in the recording (01:12:30), not the clock time on the agenda.

Worth knowing: we cut it into sessions for you. This is a paid add-on and takes a few extra days. Ask us for a quote.

A session list looks like this

Part three

How to send the files

1

Upload to a shared folder

Google Drive, Dropbox, OneDrive or similar.

2

Allow downloading

Set the link so anyone with it can view and download.

If downloading is turned off, we cannot import the files.

3

Add the final agenda

With every speaker's full name, job title and company, spelled exactly as they should appear.

4

Send us the link

To danielle@speechbox.ai.
